Admin workflows: from incoming request to tracked task
A practical design for routine admin work: collecting requests in one place, creating tasks, acknowledging requesters and keeping status visible.
Solution by the Otomatzia editorial team · checked against official sources on

The problem
Requests arrive in chat, email and calls. Without one intake path, work is duplicated or forgotten and requesters chase for updates.
Typical building blocks
- One form or inbox as the front door
- A task board in monday.com, Notion or Airtable
- An acknowledgement message after the task is created
- A team channel notification for triage
Decisions to make first
Required fields, triage owner, status names and what the requester is told. Keep statuses few and meaningful.
Limitations
Free-text requests still need human triage. Automating the acknowledgement does not shorten the work itself.
