The problem
Leads arrive from forms, email and booking tools, land in different places and wait for someone to notice. The fix is a single path: capture, dedupe, assign, follow up, report.
Typical building blocks
- Capture: website form or Calendly booking webhook
- System of record: a CRM such as HubSpot, or a sheet while volume is small
- Runner: Make, n8n or Zapier
- Notification: Slack or email to the owner
Decisions to make first
Who owns a new lead, how fast it should be contacted, what counts as a duplicate, and where consent is recorded. Write these down before choosing tools.
Limitations
Automation speeds up handoffs; it does not replace a person replying. Measure response time before and after rather than assuming an improvement.
