Status
This is an illustrative design, not a tested template. We have not executed it end to end. Build it in a test workspace with sample data and run the checks below before using real customer data.
Flow
- Trigger: a new lead record in the CRM or a lead row in a sheet
- Pick an owner by a written rule: territory, service type or simple rotation
- Set the owner on the record
- Create a follow-up task with a due date in business hours
- Notify the owner in Slack or email with a link to the record
- Escalate if the task is still open after an agreed time
Checks before going live
- Every test lead gets exactly one owner
- An owner on leave is skipped by the rule
- A lead that arrives at night gets a due date the next working day
- Re-running the same lead does not create a second task
Limitations
Rotation stored in a spreadsheet can skip or repeat under concurrent runs. Many CRMs have native owner rotation inside their workflows; prefer it when your plan includes it.
