Signs you have outgrown the sheet
- Duplicate rows appear from parallel writes
- People keep private copies
- You need permissions per record or an audit trail
- API quota errors appear in automation logs
Options
Customer and deal data belongs in a CRM such as HubSpot, where contacts can be deduplicated by email address. Operational records that are not about customers can go to Airtable or a database. Keep the sheet as a read-only report if people like it.
Migration steps
- Freeze the column structure and clean duplicates
- Import into the new system and compare counts
- Repoint automations one at a time, testing each
- Keep the old sheet read-only for a set period
