The problem
Requests arrive in chat, email and calls. Without one intake path, work is duplicated or forgotten and requesters chase for updates.
Typical building blocks
- One form or inbox as the front door
- A task board in monday.com, Notion or Airtable
- An acknowledgement message after the task is created
- A team channel notification for triage
Decisions to make first
Required fields, triage owner, status names and what the requester is told. Keep statuses few and meaningful.
Limitations
Free-text requests still need human triage. Automating the acknowledgement does not shorten the work itself.
